Executive Assistant

WHO WE ARE LOOKING FOR

We’re currently looking for an Executive Assistant to be a supportive force who empowers our senior leadership. The ideal candidate will be a proactive problem solver with exceptional communication skills and meticulous attention for details. This person should have experience working in a fast-paced adaptable (remote and in-office) environment, performing administrative duties. Given the dynamic nature of the executive landscape, we rely on executive assistants to be flexible and consistent while maintaining the confidentiality of high-level systems and operations.

 

Reporting directly to the CEO, the Executive Assistant provides support in a one-on-one working relationship. The Executive Assistant must be creative and enjoy working within a entrepreneurial environment that is results-driven. The ideal individual will have the ability to exercise good judgment in a variety of situations, with strong written and verbal communication, administrative, and organizational skills, and the ability to maintain a realistic balance among multiple high-stakes priorities. The Executive Assistant will have the ability to work independently on projects, from conception to completion, and must be able to work under pressure at times to handle a wide variety of activities and confidential matters with discretion.

 

YOUR DAY TO DAY

  • Handle sensitive and high-level information with the utmost discretion and integrity

  • Efficiently manage the C-suite’s time by prioritizing appointments, meetings, and travel arrangements

  • Manage correspondence, screening calls, and ensuring timely responses on behalf of the C-suite

  • Organize executive meetings, prepare agendas, take minutes, and follow up on action items

  • Draft reports, presentations, and other documents with a high level of professionalism and accuracy

  • Maintain strong relationships with internal and external stakeholders, ensuring seamless communication and collaboration

  • Support the CEO and provide additional support to executive team members, as directed, to ensure that company goals and objectives are accomplished and that operations run efficiently

  • Manage communication with employees by liaising with internal and external executives on various projects and tasks

  • Plan and orchestrate work to ensure that senior executives’ priorities are met, organizational goals are achieved, and best practices are upheld

  • Coordinate complex scheduling and calendar management, as well as content and flow of information to senior executives

  • Manage senior executives travel logistics and activities, including accommodations, transportation, and meals

  • Provide administrative and office support, such as typing, dictation, spreadsheet creation, and maintenance of user-specific software and contacts database

  • Maintain professionalism and strict confidentiality with all materials

  • Running errands like picking up groceries, dry cleaning, or making deliveries

  • Gathering information and verifying details for projects or presentations

  • Successfully completes critical aspects of deliverables with a hands-on approach, including drafting acknowledgement letters, personal correspondence, and other tasks that facilitate the CEO’s ability to effectively lead the company

  • Prioritizes conflicting needs; handles matters expeditiously, proactively, and follows-through on projects to successful completion, often with deadline pressures

  • Proactively manage the executive’s calendar, scheduling meetings, appointments, and calls, including conflict resolution and reminder notifications

     

YOUR QUALIFICATIONS:

  • Bachelor’s degree in business administration, communications, or a related field preferred.

  • Exceptional organizational, multitasking, and time-management skills

  • Strong written and verbal communication skills

  • High proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and other productivity tools.

  • High proficiency in social media applications (LinkedIn, etc.)

  • Strong problem-solving skills with a proactive and adaptable approach

  • Experience in entertainment technology, engineering, architecture, placemaking, or related field

  • Very strong interpersonal skills and the ability to build relationships with stakeholders, including staff and external partners

  • Demonstrated proactive approaches to problem-solving with strong decision-making capability

  • Highly resourceful team-player, with the ability to also be extremely effective independently

  • Proven ability to handle confidential information with discretion, be adaptable to various competing demands, and demonstrate the highest level of customer/client service and response

  • Demonstrated ability to achieve high performance goals and meet deadlines in a fast-paced environment

  • Forward looking thinker, who actively seeks opportunities and proposes solutions

  • Ability to anticipate executive needs and proactively address issues

  • Maintain a professional demeanor and uphold high ethical standards

  • Confidence, tact, and a professionally persuasive manner.

  • Ability to prioritize tasks as well as multitasking.

  • An acute eye for detail.

  • Demonstrated ability perform multiple tasks without general supervision.

  • Ability to travel when required.

  • Must possess a valid driver’s license.

 

YOUR WORK ENVIRONMENT

In person in our Henderson, NV headquarters. Most work will be performed in an office environment. Travel is estimated at a 5% level.

Job Type: Part-time


Pay: The hourly range for this position in Nevada is $26-$29/hour. For states not referenced here, the salary range for this position will reflect the candidate’s final work location. Please note that the salary information is a general guideline only. EPS considers factors such as (but not limited to) scope and responsibilities of the position, candidate’s work experience, education/ training, key skills as well as market and business considerations when extending an offer or future pay increases.


Schedule:

·       Monday to Friday; hours to be determined by supervisor

·       Weekends as needed
